Epex Consulting LLC (“Epex Consulting,” “we,” “us,” or “our”) operates the website epexconsult.com and provides owner-side construction advisory services. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
It also describes, in the section titled Google User Data, how our internal automation application handles data obtained through Google APIs.
1. Information We Collect
Information you give us
- Contact and inquiry details: your name, email address, phone number, company, and anything you write to us when you submit a form, email [email protected], or call or text 281-957-4106.
- Booking information: when you book a project review, scheduling is handled by Cal.com. The details you enter there (name, email, meeting time, and any notes) are processed by Cal.com under its own privacy policy and shared with us.
- Project documents you upload or send: leases, proposals, plans, budgets, schedules, and similar materials you provide so we can review them. These may contain commercially sensitive information. We treat them as confidential and use them only to perform the review and advisory work you asked for.
Information collected automatically
When you visit our website we and our analytics providers collect standard technical data, including IP address, browser and device type, referring page, pages viewed, and time on site. We use the following tools:
- Google Analytics 4 and Google Tag Manager: to understand how visitors use the site.
- Meta (Facebook) Pixel: to measure the performance of our advertising and to show relevant ads on Meta platforms.
- Cloudflare: to deliver, secure, and speed up the site, including basic performance analytics.
These tools use cookies and similar technologies. See Cookies and Tracking below for your choices.
2. How We Use Information
We use the information we collect to:
- respond to your inquiry and schedule and conduct project reviews;
- perform the advisory services you engage us for, and deliver written summaries and deliverables;
- send resources, checklists, or updates you requested (you can unsubscribe at any time);
- operate, secure, maintain, and improve our website;
- measure and improve our marketing; and
- meet legal, tax, and recordkeeping obligations.
3. We Do Not Sell Your Information
We do not sell your personal information, and we do not rent or trade it. We do not use the project documents you send us for any purpose other than serving you.
4. Google User Data
Epex Consulting operates an internal automation application (the “Epex Internal Automation App,” Google Cloud project epex-project) that we use to run our own business operations: organizing our email, documents, calendar, and project spreadsheets. It is a desktop application used solely by a small number of authorized Epex Consulting personnel, who connect it to Google accounts that our business operates. Some of those are standard Google (gmail.com) accounts rather than accounts on the epexconsult.com domain. The application is not offered to the public, and it is not used to access the Google account of any client or member of the public.
This section describes how that application handles data obtained through Google APIs.
Scopes we request and why
| Scope | Why we request it |
|---|---|
gmail.readonly / gmail.modify | To read, label, sort, and organize messages in the connected mailbox so project correspondence, invoices, and vendor communications are filed to the right project. |
gmail.send | To send project correspondence, review summaries, and document requests from the connected mailbox at the user’s direction. |
drive / drive.file | To read and file project documents (contracts, drawings, budgets, and reports) into the correct project folders. |
calendar | To read and create events for project reviews, site visits, and construction milestones. |
spreadsheets | To read and update our own project budget, schedule, and reconciliation spreadsheets. |
We request the narrowest scopes that allow these functions to work, and we use Google user data only to provide and improve these features.
How we store and protect Google user data
- The application runs locally on authorized company devices. OAuth tokens are stored locally on that device and are not transmitted to or stored on any Epex Consulting server.
- We do not maintain a copy of your mailbox, Drive, Calendar, or Sheets content on our servers. Data is retrieved from Google’s APIs at the time it is needed to perform a requested action.
- Access is limited to a small number of authorized Epex Consulting personnel, each operating a Google account that our business controls.
- Devices running the application are protected by access controls including device authentication and full-disk encryption.
How to revoke access and delete data
You can revoke the application’s access to your Google account at any time at myaccount.google.com/permissions. Revoking access immediately invalidates the stored token. To request deletion of any data associated with the application, email [email protected] and we will action the request within 30 days.
Limited Use disclosure
Epex Consulting’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, we affirm that:
- we use Google user data only to provide and improve the user-facing features described above;
- we do not transfer Google user data to third parties except as necessary to provide or improve those features, to comply with applicable law, or as part of a merger or acquisition;
- we do not use Google user data for serving advertisements, including retargeting or personalized advertising;
- we do not sell Google user data; and
- we do not allow humans to read Google user data unless we have your affirmative consent for specific messages, it is necessary for security purposes or to comply with applicable law, or the data has been aggregated and anonymized.
5. Sharing and Disclosure
We share information only in these circumstances:
- Service providers who help us operate, such as our website host, Cloudflare, Cal.com, and our analytics and email providers. They may process information only on our instructions.
- Professional advisors such as our attorneys and accountants, under confidentiality obligations.
- Legal requirements: when required by law, subpoena, or to protect our rights, safety, or property.
- Business transfer: in connection with a merger, acquisition, or sale of assets, subject to this policy.
Google user data is not shared with any of the advertising or analytics providers named in this policy.
6. Data Retention
We keep project records and correspondence for as long as needed to provide our services and to meet legal, tax, and professional obligations, and then delete or archive them. Website analytics data is retained according to the default retention settings of the analytics provider. You may request deletion of your information as described below.
7. Security
We use reasonable administrative, technical, and physical safeguards to protect information, including encryption in transit, access controls, and device encryption. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Rights and Choices
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, or to object to or restrict certain processing. Texas residents have rights under the Texas Data Privacy and Security Act, and residents of other states and regions may have comparable rights.
To exercise any of these rights, email [email protected]. We will respond within the timeframe required by applicable law. We will not discriminate against you for exercising your rights.
9. Cookies and Tracking
Our site uses cookies and similar technologies for site functionality, analytics, and advertising measurement. You can control cookies through your browser settings. You can also opt out of Google Analytics via the Google Analytics Opt-out Browser Add-on, and manage Meta ad preferences in your Meta account settings. Blocking cookies may affect how parts of the site work.
